The Problem with Word and Email
When a URS is drafted, it is typically emailed to a vendor. The vendor adds their comments, changes the file name to "URS_v2_vendor_comments.docx", and emails it back. Internal stakeholders then add their comments, resulting in "URS_v2_vendor_comments_internal_v3_FINAL.docx".
This process is slow, prone to version control errors, and makes extracting a clean Traceability Matrix a nightmare.
A Single Source of Truth
Modern validation requires a single source of truth. Suppliers should be invited directly into the platform where the URS is being authored. They should be able to comment on specific requirements, propose alternative acceptance criteria, and electronically sign off on the final document.
